ASA of Los Angeles mobilizes community volunteers to advocate for children who have experienced abuse and neglect. The organization envisions a Los Angeles in which every child in the child welfare system has an advocate and the opportunity to thrive. CASA of Los Angeles is on a path over the next five years to expand services to children in LA County’s child welfare system so that it provides services to a meaningful number of the 30,000 children in the dependency court system every year.
Key to these efforts is growth in the number of volunteers trained each year, the number who stay active in a year, and in revenue raised from community partners and other donors.
POSITION OVERVIEW
The Office Assistant will report to the Human Resources Director and provide general operational and administrative support services to CASA/LA.
ESSENTIAL FUNCTIONS
Office Support
- Promote a positive CASA/LA culture by modeling inclusive, kind, and responsive behavior to volunteers, staff, community members, our partners, and the children and families we serve.
- Act as the “gatekeeper” to the organization, answering phone calls, directing calls, taking messages and greeting visitors.
- Manage and disperse correspondences such as incoming and outgoing emails, letters, and other forms of communication to all departments.
- Oversee, maintain and troubleshoot general office equipment (such as copiers and postage meter) and kitchen appliances (refrigerator, coffee machine, water dispenser)
- Take responsibility for overall office facilities; proactively identify needs, act as primary liaison with court facilities staff, and engage other facilities service providers as needed.
- Oversee office supplies: maintain inventory, organize requests, secured approvals, and place, monitor and distribute orders, according to purchasing guidelines and procedures. Research and order special items as needed.
- Prepare, copy, deliver, and retrieve documents and files to and from court rooms and the clerk’s office.
- Compile, copy, sort, and file records of office activities, business transactions, and other activities.
- Review files, records, audit files, audit training, and other documents to obtain information to respond to requests.
- Prepare meeting agendas, attend meetings, and record and transcribe minutes.
- Assist in employee event planning.
- Assist with administrative such as auditing, scanning, copying, and faxing.
- Manage and replace employee and volunteer badges.
Knowledge, Skills, Abilities, and Experience Required
- High school diploma or GED; prefer some college or Bachelor level education.
- Highly proficient in MS Office, and ability to work with new systems/software platforms.
- Ability to operate or learn to operate general office equipment including copiers, printers, virtual conferencing equipment, and others.
- Excellent organizational skills and ability to multi-task.
- Ability to work within a multicultural environment serving children and families of diverse backgrounds.
- Exceptional oral and written communication skills.
- Ability to pass a Livescan background check.
- Direct lived experience in foster care preferred.
- Fluency in English and prefer fluency in reading, writing, and speaking Spanish.
Physical/Mental Requirements and Work Environment
- The CASA office is an open office layout. Candidates will be working in a shared space with varying levels of noise and foot traffic.
- Office environment consists of moderate fluctuations in air temperature.
- Physical requirements include standing, bending, reaching, sitting, grasping, fingering, repetitive motion both hands/feet, and walking. Lifting requirement is up to 20 lbs.
